Why Make.com for AI Workflows
Make sits in an interesting position in the automation stack: more powerful than Zapier, easier than n8n, and cheaper than both for the same workload. The tradeoffs are real — it has a steeper initial learning curve than Zapier and fewer advanced code execution options than n8n — but for visual AI workflow building it's genuinely excellent.
- Operations pricing vs task pricing: Zapier charges per "task" (each action counts). Make charges per "operation" (each module execution). In multi-step AI workflows with 6-8 modules, this often means 3-5x lower cost on Make for identical workloads.
- Visual canvas: Complex AI workflows with branching logic (route this email to AI response, that email to human queue, this one to archive) are much easier to build and debug visually than in Zapier's linear interface.
- HTTP module: Make's HTTP module can call any API. This is the single most important feature for AI workflows — you are not limited to official AI integrations. Claude, Gemini, Mistral, open-source models, your own fine-tuned API — anything accessible via HTTP works.
- Error handling: Make has proper error handler modules. When an AI API call fails (and it will), you can catch it, log it, send a Slack alert, and continue the workflow gracefully. Zapier's error handling is comparatively primitive.
- No self-hosting: Unlike n8n self-hosted, Make requires no infrastructure. This matters for clients who don't have technical staff to maintain servers.
Make.com AI Modules Explained
OpenAI Module
Make has a native OpenAI module for text generation, image generation, and embeddings. It handles authentication, formatting, and response parsing automatically. Good for straightforward prompts — generate a summary, classify a sentiment, write a response.
Limitation: The native module lags behind OpenAI's latest features by weeks or months. For structured outputs, function calling, or the latest model versions, use the HTTP module directly to the OpenAI API instead. We rarely use the native module in production for this reason.
HTTP Module (The Core of AI Workflows)
The HTTP module is Make's most powerful tool for AI workflows. You configure the endpoint, headers (Authorization with API key), method (POST), body (JSON with your prompt and parameters), and response parsing in one module. This gives you access to:
- Anthropic Claude API — our preferred choice for classification and analysis tasks
- Google Gemini API — best for tasks involving large context windows (very long documents)
- Mistral API — cheaper for high-volume simple tasks where GPT-4-class quality is overkill
- Perplexity API — for workflows that need real-time web data in the AI response
- Any custom or open-source model you've deployed behind an API
JSON Parse + Text Aggregator
AI APIs return JSON. The JSON Parse module extracts specific fields from AI responses. The Text Aggregator combines multiple items into a single string — essential when you need to pass multiple records through an AI (like combining 10 customer reviews into one prompt for summary analysis). These two modules together handle 90% of AI response processing needs.
Iterator
The Iterator module processes arrays item-by-item through subsequent modules. This is how you run AI against 50 leads in one scenario execution: HubSpot search returns an array of 50 leads → Iterator sends each lead through the AI qualification module → results write back to CRM for each lead. Without Iterator, you'd need 50 separate scenario executions.
Router
After AI classification, Router branches the workflow based on the result. Email classified as "sales inquiry" goes to one path, "support request" to another, "spam" to another. Each branch has independent modules. This is the architectural piece that makes AI triage workflows possible.
Workflow 1: AI Content Repurposing
This is the highest-volume workflow we build. One blog post becomes four pieces of social content in under 2 minutes with $0.03 in AI API costs.
- Trigger: RSS Feed module monitors your blog RSS. Triggers on new post.
- Extract: HTTP module fetches the full article HTML. Text Parser module strips HTML and extracts clean body text.
- Generate LinkedIn post: HTTP → Claude API with prompt: "Write a 200-250 word LinkedIn post based on this article. Lead with a contrarian hook. No hashtags. Professional but not corporate." Return just the post text.
- Generate Twitter thread: HTTP → Claude API: "Write a 5-tweet thread from this article. Each tweet max 240 characters. Thread should stand alone — readers shouldn't need to read the article."
- Generate Instagram caption: HTTP → Claude API: "Write an Instagram caption (150 words max) for this content. End with a question to drive comments."
- Schedule: HTTP modules to Buffer API to schedule all four posts staggered over the next 5 days.
Total operations: 7. At Make Core pricing ($10.59/month for 10,000 operations), this costs $0.007 per blog post in Make fees plus $0.03 in Claude API = $0.037 total per post. For a team publishing 4x per week, monthly cost is under $1.
Workflow 2: AI Email Triaging
Client services inboxes are chaos. This workflow handles 95% of classification correctly and has saved our clients 45-90 minutes of daily inbox management.
- Trigger: Gmail module watches the inbox, triggers on new email.
- Classify: HTTP → OpenAI API. Prompt: "Classify this email into exactly one category: SALES_INQUIRY, SUPPORT_REQUEST, BILLING_QUESTION, PARTNERSHIP, SPAM, or PERSONAL. Return JSON: {category, confidence, one_sentence_summary, suggested_action}"
- Router: Branch on category.
- SALES_INQUIRY path: Apply Gmail label "Sales Pipeline", create HubSpot contact if not exists, send Slack message to sales channel with summary.
- SUPPORT_REQUEST path: Create Zendesk ticket with AI summary as first internal note, assign to support queue, send auto-acknowledgment to sender.
- SPAM path: Move to spam folder, no further action.
- PERSONAL path: Leave in inbox, no automation, no notification.
The confidence score matters: if confidence is below 85%, the email gets labeled "Needs Review" and goes to a human instead of being auto-routed. This prevents misclassification from causing problems with important emails.
Workflow 3: Review Monitoring and Response
We run this for 12 clients simultaneously from a single Make account. One scenario, twelve connected Google Business Profile integrations.
- Trigger: Schedule module runs every 2 hours. HTTP module polls Google Business Profile API for new reviews.
- Filter: Filter module skips reviews already processed (stored in a Make data store).
- Analyze: HTTP → Claude API. Analyze sentiment (positive / neutral / negative), identify specific issues mentioned, extract any promises or commitments the reviewer made or the business made.
- Generate response: HTTP → Claude API with business context (name, services, tone guidelines) plus review text. "Write a professional response (75-125 words) that acknowledges the specific points raised, is warm but not sycophantic, and invites continued relationship. Do not use corporate platitudes."
- Route by sentiment: Positive reviews → send response draft to Slack for one-click approval. Negative reviews → send to Slack with URGENT flag, include AI analysis of the issues and suggested offline resolution.
- Post approved responses: When team member approves in Slack (via Slack workflow bot), HTTP module posts response to Google Business Profile API.
Workflow 4: AI Invoice Processing
Finance and operations teams spend 15-30 minutes per invoice on manual data entry. This workflow brings that to under 2 minutes for review and approval.
- Trigger: Gmail module watches for emails with attachments from known vendor addresses (filter by sender domain).
- Extract PDF: Gmail module downloads the attachment. HTTP → PDF parsing API (PDF.co or similar, ~$20/month for typical invoice volume) extracts text content.
- Parse with AI: HTTP → OpenAI API with structured output schema: {vendor_name, invoice_number, invoice_date, due_date, total_amount, currency, line_items: [{description, quantity, unit_price, amount}], payment_terms}. GPT-4o handles complex invoice layouts accurately in our testing.
- Create accounting entry: HTTP → QuickBooks API creates a Bill record with all parsed fields. Map line items to appropriate expense categories based on vendor type.
- Notify for approval: Slack message to finance channel: "New invoice: [vendor] for $[amount] due [date]. Review: [QuickBooks link]. Approve or flag?"
This workflow handles 85% of straightforward invoices fully automatically. The other 15% — unusual formats, unclear line items, amounts that trigger approval thresholds — get flagged for human review with the AI's partial extraction already filled in.
Workflow 5: Competitor Monitoring and Intelligence Digest
This is the workflow that gets the most "how did you build that" reactions from clients. Monthly cost: $2 in Make operations plus $1 in AI API.
- Trigger: Schedule module runs Monday mornings.
- Collect competitor content: RSS Feed modules for each competitor's blog (usually 5-10 competitors). Iterator processes each new post from the past week.
- Scrape competitor websites: HTTP module to Diffbot or Jina.ai API to detect website changes — new pricing pages, new feature pages, changed messaging.
- Monitor job postings: HTTP to LinkedIn or Indeed API for competitor job postings. New hires in specific departments (engineering, sales, enterprise) are leading indicators of product and market direction.
- Aggregate and analyze: Text Aggregator combines all signals into one context block. HTTP → Claude API: "Analyze these competitor signals from the past week. What are the 3 most strategically significant developments? What do they suggest about competitive direction? What should our team pay attention to?"
- Format and distribute: Email module sends formatted intelligence digest to the marketing and product leadership team every Monday morning.
Error Handling Patterns
Production AI workflows break in specific ways. Here is how we handle each:
- AI API rate limits: Add an Error Handler module after every HTTP AI call. If response code is 429 (rate limited), wait 60 seconds (Sleep module) and retry. Set maximum retries to 3. After 3 failures, route to error path.
- Malformed AI responses: Even with structured output mode, AI occasionally returns unparseable JSON under load. Use a Set Variable module to define default values for every field the AI should return, then merge actual AI output over defaults. This prevents downstream modules from failing on missing fields.
- Error alerting: Every error path in every production scenario ends with a Slack message to a designated error channel: scenario name, error type, which record failed, and a Make scenario link for one-click investigation.
- Data store for deduplication: Use Make's built-in data store to track processed record IDs. Check before processing — this prevents re-processing on scenario restarts after failures.
Operations Optimization
Your Make bill is determined by total operations consumed. Operations add up faster than most people expect in AI workflows. Optimization strategies we use on every scenario:
- Combine HTTP calls: If you need data from two endpoints on the same service, make one HTTP call with the combined request rather than two separate modules where possible.
- Use aggregators before AI: Instead of calling AI once per record in a loop, aggregate multiple records into one prompt and call AI once. Batch summarization of 10 reviews in one AI call uses 1 operation instead of 10.
- Filter early: Put Filter modules as early as possible in the scenario. If 70% of triggered events don't need AI processing, filter them out before reaching the AI modules.
- Avoid unnecessary routes: Each route adds an operation. If you only have two possible outcomes from an AI classification, use an IF module (1 operation) rather than Router with two routes (potentially 2-3 operations).
Make vs n8n: Honest Comparison
We use both and recommend each in specific situations. Here is our actual decision framework:
- Choose Make when: Client team needs to maintain the workflow themselves, visual interface is important, no self-hosting is available, moderate volume (<50,000 operations/month), quick deployment matters more than maximum flexibility
- Choose n8n when: Complex AI chains with custom Python or JavaScript code execution, high volume (100,000+ operations/month where self-hosted n8n becomes cheaper), custom API integrations that aren't in Make's library, team has technical staff who can manage a server
The honest summary: Make is better for visual thinkers, non-developer teams, and most business automation scenarios. n8n is better for complex AI engineering, high-volume scenarios, and teams with technical staff who can manage infrastructure. We use Make for 60% of client projects and n8n for the other 40% — and we almost never need to switch one client from one to the other once we've chosen correctly upfront.
